collecting and using personal data, our policy is to be transparent about why and how we do so.

2. Security
We take the security of all the data we hold seriously. Our staff members are trained on data
protection, confidentiality and security. We have a framework of policies and procedures to keep
the data we hold secure, and we regularly review these.
Unfortunately, the transmission of information via the internet is not completely secure. Although
we will do our best to protect your personal data, we cannot guarantee the security of data
transmitted via our website or via email; any transmission is at your own risk. Once we have
received your information, we will use appropriate procedures and security measures to try to
prevent unauthorised access
3. How do we collect personal data?
We collect personal data when an online form is submitted via our website. This includes when you:
- Contact us / submit an enquiry
- Sign up for our email newsletter and free sample resources
- Apply for membership (as a school, or an individual within an existing member school)
- Place an order for a product or service
- Complete a survey (e.g. to provide feedback)
The personal data collected may include:
- Name, role and organisation
- Contact details, including email address
- Demographic information such as postcode, key stages covered, interests, etc.
In addition, when you contact us by email, letter or by phone, we may also record this information
on our customer relationship management (CRM) system. On some occasions, we also collect
personal data during online or in-person events. This could include photographs and video footage.
We also collect information on your website usage through cookies (see more details below).
4. How do we use personal data?
We use the personal data we collect to fulfil orders, provide services, respond to enquiries, and to
communicate information about member benefits and opportunities. The data collected and used is
dependent on the service being provided and on the recipient of this service.
We use information collected from website visits to improve the experience we provide to our
online users. For example, information about the most-viewed webpages, or the types of device
used by visitors, helps to inform our website development plans.
We also use your information to help us develop relevant products and services, and where we have
a lawful basis and permission to contact you, we may use it to help us send you relevant and timely
information about the support and services we offer.
5. How long do we hold personal data for?
We retain personal data for as long as is considered necessary for the purpose(s) for which it was
collected. There may also be occasions which require data to be kept for longer; for example for
financial or legal purposes.
- We will retain personal data relating to NACE membership for two years after the
membership has lapsed.
- If a school has gained the NACE Challenge Award, we hold related personal data for five
years from last date of accreditation.
We may retain the names of schools/organisations we have previously worked with, along with
generic contact details, for longer than the periods specified above. However, contact details which
identify individuals within the organisation will be removed.
6. Where is data stored?
Data submitted via our website (including online forms and membership accounts) is stored in the
US. Other data submitted to NACE is stored on our cloud-based service hosted by Microsoft.
7. Cookies
Our website uses cookies to distinguish users from others. This helps us to provide a good user
experience and allows us to improve our site. By continuing to browse the site, you are agreeing to
our use of cookies.
A cookie is a small file of letters and numbers that is stored on a user’s browser or computer hard

- Logging into your NACE membership profile (if you have one) and updating your
communication preferences.
- Contacting us directly to request this.
9. Sharing information with other organisations
NACE will not sell your information to any third party. We may share your information with third
parties where we have legal duty to do so or to provide you with a service you have asked for. For
example, we use a third party supplier to send packs of materials in the post to our member schools
within the UK, and we use secure third party partners to process financial transactions.
Our website is managed by YourMembership.com, Inc. (YM). YM uses information submitted and
stored on the website to provide services to NACE and our website users.
10. Keeping your information up to date
To help us ensure the data we hold is current and correct, you can log in to your NACE membership
profile (if you have one) to review and update your details. Alternatively, please contact us to check
and update the information we hold about you.
11. Your rights
Data protection regulations give you clear rights over how your data is used by us. You can find out

We hope that you won’t ever need to, but if you do want to complain about our use of personal
data, please send an email with the details of your complaint to data@nace.co.uk. We will look into
and respond to any complaints we receive.
